1. Scope
This Privacy Policy explains how Recruit Canvas collects, uses, stores, and shares information when you use our website, applications, and related services.
This policy covers account creation, resume uploads, pasted content, job descriptions, generated outputs, and other data you provide while using the service.
2. Information We Collect
We collect information you provide directly, including your email address, account credentials, resume content, uploaded files, job descriptions, answers to guided prompts, interview answers, cover letter inputs, and any edits or approvals you make in the product.
We also collect operational data such as account identifiers, usage metadata, device/browser information, IP address, and logs needed to secure, maintain, and improve the service.
3. How We Use Your Information
We use your information to operate the service, authenticate your account, process uploads, generate resume and interview-prep outputs, export documents, save workspaces, detect misuse, troubleshoot issues, and communicate with you about your account or the product.
We may also use aggregated or de-identified information to understand product performance and improve the service, but not to identify you personally.
4. AI Processing
Recruit Canvas uses third-party AI service providers to generate, analyze, rewrite, verify, and review content. When you use AI-powered features, relevant portions of your resume, job description, prompt responses, interview answers, and related context may be sent to those providers for processing.
We send this data only to operate the product features you request. We do not send your information to AI providers so they can market to you, sell your data, or build independent customer profiles about you.
If you do not want your content processed by AI providers, do not submit that content through AI-powered features.
5. How We Share Information
We share information with service providers that help us run the service, such as hosting, authentication, storage, database, document export, email, and AI-processing providers. These providers may access information only as needed to perform services for us.
We may also disclose information when required by law, to enforce our terms, to protect the security or integrity of the service, or as part of a merger, acquisition, financing, or asset transfer.
6. No Sale of Personal Information
We do not sell your personal information.
We do not rent, broker, or otherwise monetize your resume content, job application materials, or account data by selling it to data brokers, advertisers, recruiters, or other third parties.
7. Your Choices and Rights
You can update certain account information inside the product. You can also request access to, correction of, or deletion of your personal information, subject to applicable law and our legitimate business needs such as fraud prevention, security, and legal recordkeeping.
You may also ask us about what categories of information we collect, how we use it, and what categories of third parties receive it. If we ever materially change how we handle personal information, we will update this policy.
8. Data Retention
We retain personal information for as long as reasonably necessary to provide the service, maintain your account, preserve saved workspaces and exports, comply with legal obligations, resolve disputes, and enforce our agreements.
Retention periods may vary depending on the type of information and whether you continue to use the service. We may retain backup copies and security logs for a limited period after deletion requests are processed.
9. Security
We use reasonable administrative, technical, and organizational measures to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
You are responsible for maintaining the confidentiality of your account credentials and for using strong, unique passwords where password authentication is enabled.
10. Children
Recruit Canvas is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us so we can review and delete it where appropriate.
11. International Use
If you access the service from outside the United States, you understand that your information may be processed and stored in the United States or other jurisdictions where our service providers operate.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and revise the "Last updated" date.
